The two situations:

Assigning a registration to a vehicle you own, directly from a certificate or from another vehicle.

Retaining a registration from a vehicle, so it is held on a V778 retention document in your name and can be assigned later.

What both require. The vehicle must be registered in the UK, taxed or on SORN, have a valid MOT where applicable, and be available for inspection — the last of which catches people out, since DVLA can require it.

The rule that determines everything: you cannot make a vehicle appear newer than it is. A registration can move to an older or same-age vehicle, never to a younger one. So a 2015-issue registration cannot go on a 2020 car. Age-identifying characters are the constraint, which is why dateless registrations command a premium — they can go on anything.

Fees. A transfer or retention fee is payable to DVLA, and assignment from a retention document generally carries no further fee. Beware of third-party sites charging substantially more to perform the same online process.

What happens to the original registration. The vehicle receives a replacement — either its previously retained original, or a DVLA-issued one. A vehicle's original registration is not lost forever; where it was retained it can be reassigned.

The points that cause problems:

Selling a car and forgetting to retain the plate first. Once the vehicle is sold, the registration goes with it, and recovering it requires the new keeper's cooperation. Retain before advertising, not after agreeing a sale.

Insurance and finance. Both must be notified, and a finance company's permission may be required since the vehicle is not yours.

The V5C is reissued, and the old one is surrendered.

Plates must be correctly formatted — legal spacing, character style and no altered spacing to make a registration read as a word. Misrepresented plates fail the MOT and attract a fine and the loss of the registration.

Retention documents expire and must be renewed.
